Preparing for your shoot

Rental requirements

Most of this is standard for grip and lighting rental. Check the FAQ for anything else, or just ask.

Who can rent

In-house teams, production companies, and agencies.

Insurance

A certificate of insurance is required before every shoot — general liability, rented-equipment coverage at replacement value, and Keylight Pie as Additional Insured and Loss Payee. Full requirements, limits, and where to send it are on the Insurance page and come with your quote.

Reservation

A signed quote holds the dates. Until we have the signed quote, the truck and fixtures stay available to other jobs.

Payment

Net 30 for established accounts. New accounts pay a 50% deposit before the shoot; the remainder is due Net 30. ACH preferred, major cards accepted, paid digitally via a QuickBooks link.

Arrival & Wrap

The truck arrives at your location with an approved Gaffer at call, and it wraps when you wrap, followed by a quick inventory on-site. Mileage is $1.25 per mile from the Cincinnati shop, both ways.

Days & Overtime

Gear and truck are rented for the day. Labor rates are based on a ten-hour day. Overtime is negotiated as soon as the possibility arises.

Condition & Loss

Gear goes out checked and comes back checked. Loss, damage, or missing pieces are billed at replacement cost, or handled through your insurance.

Cancellation

Date changes inside the same month are generally free. Cancelling inside 48 hours of the first shoot day is billed at one full day rate as it appears on your approved quote.

Build an Estimate and send it over. We'll respond with the Rental Agreement, the Insurance requirements, and an itemized Quote for you to approve.
